Position Title: Program Assistant

Reports to: the Director of Programs

Duties and Responsibilities include:
Work closely with Director of Programs to provide administrative and programmatic support to HIV program activities.
Coordinate all aspects of CFA process for governmental contracts (administrative, program and fiscal), compile all needed documentation and ensure timely submission working closely with related management staff.

Maintain and monitor staff training hours to comply with regulatory and contractual requirements. Provide quarterly reports to the director of programs.
Take care of all aspects of program material review process working closely with program staff and a designated staff assigned to be a chair of review panel.
Maintain logs for program supply including outreach material and order as needed.
Prepare for site visit including but not limited to set up of meeting place and audio visual equipment.

Ensure timely and accurate data entry by program staff.
Trouble shoot program database issue working closely with the database manager.
Liaise with website consultant for content update for services and job openings.
Any other activities as assigned to assist the director of programs.

 

Qualifications:

  • Bachelor’s degree required. High school diploma with substantial administrative work experience on government contract can be considered.
  • Familiarity with government contract administration highly preferred.
  • Prior experience in basic arithmetic needed. Ability to convert point and percentage required.
  • Ability to read and understand government contracts requirements in English required.
  • Excellent written and verbal communication skills in English with ability to work independently.
  • Proficiency with common computer software (Word, Excell, Access) required.
  • Ability to create power point presentation, simple statistical graphics required.
  • Good attention to details.
  • Ability to work flexible hours including some evenings and weekends.
  • Ability to work within an organizational structure.
  • Independent and good team player.
